Notes on archived data / data protection
Enrolment, renewal of enrolment and unenrolment are processed using an automated system, as are the personalised student Internet
messages and the lending and ordering of books and other materials from the University library. In order for this automated system to
function properly, it is essential for the University to archive and process your personal data .
The legal grounds for the processing of your personal data are formed by the most recent and valid versions of the Ordinance on the
Enrolment Process and the Processing of Personal Data of the Universities and Institutes of Higher Education of Hessen (Verordnung
über das Verfahren der Immatrikulation und die Verarbeitung personenbezogener Daten an den Hochschulen des Landes Hessen
[Hessische Immatrikulationsverordnung]) dated 29 December 2003 (Law and Ordinance Gazette [GVBl.] 2004 I pg. 12), the Articles of
Association of Johann Wolfgang Goethe University on Student Identification Chip Cards (Satzung der Johann Wolfgang
Goethe-Universität zum Studienausweis als Chipkarte [Chipkartensatzung]) dated 6 September 2006 , the General Regulations on Use
of the Information Processing and Communications Infrastructure of Johann Wolfgang Goethe University (Allgemeine Nutzungsordnung
für die Informationsverarbeitungs- und Kommunikations-Infrastruktur der Johann Wolfgang Goethe-Universität [Allgemeine
IuK-Nutzungsordnung]) dated 5 June 2001 and the Regulations on Use of the Library System of the Johann Wolfgang Goethe
University (Benutzungsordnung für das Bibliothekssystem der Johann Wolfgang Goethe-Universität [Bibliotheksbenutzungsordnung])
dated 23 September 2005.
1. Which user data will be archived?
- Student administration (student secretary)
birth, course or courses of study and corresponding study modules, enrolment no., date of enrolment and of unenrolment,
periods of vacation from studies, exemptions from fee payments, type of examinations and dates and results of examinations. - Goethe-Card (student ID card)
The following data may be archived in the contactless data chip on your card: library account no., enrolment no., electronic
cash facility, status of card holder (student), period of validity of the card, unique card serial no., issuing institute and technical
processor data - Computer centre (account)
Name, surname, enrolment no. and subject of study (department/faculty) - Library /personal data
Identification document no., name, surname, date of birth, classification no. for occupation, address (town, street, house no., if
necessary separately for main residence and postal address), passport no. (encrypted) for online orders and enquiries with
regard to status of borrowing account. If participating in 'myUB', your personal settings will be archived. Participation in 'myUB'
is voluntary. - Library /data on borrowed material and fees
Data may be collected, archived and processed pursuant to the most recent and valid versions of the Regulations on Use of
the Library System of the Johann Wolfgang Goethe University (Benutzungsordnung für das Bibliothekssystem der Johann
Wolfgang Goethe-Universität [Bibliotheksbenutzungsordnung]) dated 23 September 2005 and the Costs Ordinance for the Use
of the Library System (Fees, Expenses and Charges) (Kostenordnung für die Benutzung des Bibliothekssystems (Gebühren,
Auslagen und Leistungsentgelte) [Bibliothekskostenordnung]) dated 23 September 2005.
2. When will data be deleted?
- Student secretary
The personal data not specified in section 17 of the Hessian Student Enrolment Ordinance (Hessische Immatrikulationsverordnung)
will be deleted within one year of unenrolment; the data specified in section 1 above will only be deleted after 60 years. - Library
All personal data will be deleted as follows: in the case of borrowed items, upon return of the borrowed item; in the case of
outstanding fees, upon payment of the outstanding fees. - Computer centre
Upon unenrolment. Upon request your account can be deleted before unenrolment.
3. Will your data be passed on to third parties?
- Student secretary
Pursuant to sections 18 to 22 of the Hessian Student Enrolment Ordinance (Hessische Immatrikulationsverordnung), personal
data may be passed on to the student body, the student union, the library, the responsible Ministry and the responsible health
insurance company. Communication of your details to other offices and authorities may be permissible if this is required in
order to fulfil your legal obligations. - Library
Personal data and details of borrowed items and outstanding fees will be used exclusively for library purposes. In the event of
the breakdown of the electronic payment system (see section 5 below), personal details may be passed on to the cashier at the
payment desk. - Computer centre
Data will be used exclusively for University purposes. Communication of your details to other offices and authorities may be
permissible if this is required in order to fulfil your legal obligations. Please note: your e-mail address in particular will NOT be
passed on to third parties.
4. Your consent
- Student secretary
Pursuant to section 2 (Applications for Enrolment) of the Hessian Student Enrolment Ordinance (Hessische
Immatrikulationsverordnung), the applicant is obliged to submit his/her personal data to the university or institute of higher
education to which he/she is applying. Without this personal data it will be impossible to complete enrolment. - Library
Your student identification card (Goethe Card) is simultaneously your library card. Without your consent to the archiving of
personal data it will be impossible to activate your library card and borrowing account, as well as to activate the personalised
Internet messaging system and to use the system for borrowing and ordering books and other materials. - Computer centre
You will not be able to activate or delete your account. Computer centre accounts and the personalised Internet messaging
system, which requires a computer centre account, will not be accessible (e.g. e-mail and WLAN).
5. Electronic payment system
- Your student identification card contains an electronic payment function that enables cashless payment of small sums within
the University, in some libraries and in the student union of the Johann Wolfgang Goethe University. The processing of
payments is the responsibility of the student union. Cashless payments are processed by recording the payment amount and
the bank account details of the payer and communicating this data to the relevant bank. - Payment takes place anonymously, i.e. the cashier at the payment desk books the amount to be paid on the card and this is
then stored on a shadow account on the computer system using only the serial number of the card. Data on purchases and
consumption are not stored in the system. The cashier can not view the name or the library account no. of the cardholder. This
data may only be transferred when it is required in cases of breakdown of the electronic payment system. - The use of the electronic payment system is voluntary.
